records offsite storage

Through our offsite storage facility, clients will have the convenience of using our state-of-the-art warehouse to store all of their records and documents.

Step One:
A Centex Records consultant will partner with clients to identify the records and document storage needs.

Step Two:
Our consultant will customize and recommend a service program to fit the client’s budget and needs.

Pick-up or Drop-off Storage Items

Step One:
Once clients determine the storage solution to meet their needs one of our service agents will come to your location to pick up all of your storage items. Clients will also have the option to bring their items to the Centex Records facility.

Step Two:
All items will need to be placed in records storage boxes that can either be supplied by the client or by Centex Records. Need boxes?

ARCHIVE & INVENTORY OF RECORDS AND DOCUMENTs

Once the records and documents arrive at the Centex facility the items will be inventoried and archived (which includes creating a box number and a description). Clients will receive an itemized, archived report and will have access to our client portal where they can track, organize, and manage their records and documents.

Step One:
All of the boxes are archived and inventoried. Centex will store the original paper files in our safe, secure, temperature controlled environment.

Step Two:
Clients will utilize the client portal to manage the history of their stored items.

RETRIEVAL OF “PHYSICALLY” STORED RECORDS & DOCUMENTS

At Centex we know that it is highly likely that our clients will need access to their stored boxes. We have made it incredibly convenient for our clients to access their items. When and if the client needs access to their items their boxes can be delivered to their business location or they can visit our storage facility.

Step One:
Clients will use the client portal to manage their document storage needs.

Step Two:
Clients will choose to have their items (boxes) delivered to their business location or they have the option of visiting our Centex Records warehouse to retrieve their boxes.

SHREDDING OF STORED DOCUMENTS

Once our clients records or documents have reached their time limit for storage, Centex offers a complete shredding solution to dispose of the records or documents. Because records are considered "public information" they can not be simply thrown away and as such, confidential business information or anything containing personal data must be properly destroyed.

Step One:
Centex will shred records and documents that are no longer needed as approved by the client.

Step Two:
Upon the completion of the approved items for shredding, Centex will provide a certificate of destruction to the client.

SCANNING

Many clients have a need to view their documents immediately. We understand that documents need to be shared in a dynamic process for which scanning and storing the documents via the web becomes a great solution. At Centex we help our clients through the planning and implementation of scanning their documents and coveting them to an electronic data solution. We understand the importance of quality, accuracy, and consistency in a document conversion project. We have a team of professionals that can assist even the most sophisticated project.

Step One:
Centex will Index and scan the client's records and documents in a timely manner.

Step Two:
Centex will provide access via our user-friendly Web interface to manage the client's information.
